Data-Protection Principles
Theos Transforming Ministries and Doruka Ministries aim to process personal information lawfully, fairly and transparently; collect only what is needed; keep it accurate; retain it only as long as necessary; protect it from unauthorised access; and remain accountable for its use.
Types of Personal Information
Information may include contact details, ministry enquiries, prayer requests, testimonies, programme applications, volunteer records, donation references, attendance, safeguarding records and limited beneficiary information.
Lawful and Responsible Use
Information is used with consent, to respond to a request, administer a programme, protect legitimate ministry operations, meet safeguarding duties, maintain accountability or comply with applicable law. Sensitive information requires additional care and restricted access.
Children’s Information
Only information reasonably necessary for support, safety or accountability should be collected. Appropriate adult authority and the child’s best interests must be considered. Public identification requires separate informed consent.
Access and Sharing
Access is limited to authorised people who need the information. Sharing with service providers, partners or authorities must have a legitimate purpose and appropriate confidentiality or safeguarding controls.
Security and Breaches
Reasonable password, access, device, storage and record-management controls should be used. Suspected loss, unauthorised disclosure or misuse must be reported promptly, contained, assessed and documented. Affected persons and authorities will be notified where reasonably required.
Retention and Disposal
Records will be retained according to programme, financial, safeguarding, accountability and legal needs. When no longer required, information should be securely deleted, destroyed or anonymised.
Individual Requests
A person may request access, correction, deletion, restriction or withdrawal of optional consent, subject to identity verification and any overriding safeguarding, accountability or legal reason for retention.
