Theos Transforming Ministries and Doruka Ministries are committed to honesty, stewardship, traceability and appropriate oversight of funds and donated items.
Core Controls
- Use authorised payment channels and responsible account holders.
- Record income, donations, restricted purposes and expenditure.
- Require supporting evidence such as receipts, invoices, payment confirmations and distribution records.
- Separate requesting, approving, paying and recording duties where resources permit.
- Reconcile cash, bank and mobile-money records periodically.
- Maintain beneficiary confidentiality in public reports.
- Investigate material discrepancies and document corrective action.
Budgets and Approval
Major projects should have a written scope, budget, responsible officer and approval before expenditure. Changes affecting purpose, cost or beneficiaries should be documented.
Partner Reporting
Formal partners may receive agreed narrative and financial reports, activity evidence and explanations of material variances, subject to safeguarding and confidentiality restrictions.
Conflicts of Interest
Leaders, staff and volunteers must disclose personal or family interests in purchasing, contracting, beneficiary selection or payment decisions and should not approve their own conflicted transaction.
Misuse and Recovery
Suspected misuse will be reviewed fairly. Confirmed losses may lead to recovery action, suspension of authority, reporting to leadership or referral to competent authorities.
